Executive Support Specialist to the President & CEO

Provide administrative assistance to the President/CEO (Chief Executive Officer) including phone coverage, screening of mail, maintaining schedules (meetings, travel, vacation, team building, etc.), ordering office supplies, and ensuring proper treatment of external visitors. Provide support with planning/scheduling, translation, and general management support.

Essential Primary Duties and Responsibilities

  • Calendar Management: Meeting date, time and location coordination, sending and checking Outlook calendar invitations, video/teleconference setup and start, and main contact for the executive members
  • Travel Arrangement: Travel itinerary planning and travel requests (TRs), and miscellaneous travel arrangements
  • Travel Expenses: Reimbursement request for executives
  • Reimbursements: Submit check requests (CRs) for reimbursement expenses
  • Daily Support: Support executive members with daily needs
  • Meeting Support: Conference room reservations and management, organizing team meetings, taking meeting minutes and distributing
  • Intermediate between KIA GEORGIA, KIA US and Korea headquarters for VIP /VVIP
  • Travel up to 5% Occasional domestic and/ or international trip required Travel up to 5%

 

Qualifications and Job Requirements

  • Bachelor’s degree in Business or related field along with two (2) to five (5) years of experience in a manufacturing environment preferably within the automotive industry, or an equivalent combination of education and experience.
  • Strong interpersonal skills in order to manage cross functional relationships.
  • Maintain a positive environment for successful compliance with other divisions.
  • Ability to understand oral and written instructions, schedules, and diagrams.
  • Ability to troubleshoot problems in a systematic and collaborative fashion.
  • Ability to travel internationally and within North America.
  • Ability to maintain confidentiality.
  • Ability to exercise independent judgment and discretion in both exercising company decisions and carrying out essential job duties that affect efficient business operations and its objectives, policies, practices, and conditions.

Specialized Skills and Knowledge Required

  • Experience using Microsoft Excel, PowerPoint, Word, and Access.
  • Experience working with SAP, ERP, APS and MES Systems preferred.
  • Strong research, organizational, analytical, communication and time management skills.
  • Bilingual in Korean and English (Verbal and Written Skills) required.
